Job Designation : Administrative Coordinator or Team Leader

Job Location : Mumbai

Job Description :
Ensure Client contracted record management vendor, account setup of
new users based on Client requirements

Maintain updated client authorized user list and ensure the updated list is
to be used by the Records Management Vendor.

Manage the coordination of new records pick up request to the Record
Management Vendor.

Ensure necessary forms and documents to be prepared with authorized
signature by Client representatives.


Assist users in placing record management related services to Record
Management Vendor.

Receive and verify all the record management service related invoices
issued to all Client entities in India and their breakdown on cost center
basis as well as supporting documents before processing for payment.

Collate reports for all Client sites in India of their respective service usage
volumes and spends.

Report monthly on volumes and storage cost as well as record
management service cost to CIM management.

Ensure the Record Management Vendors adherence to the Service Level
Agreement between Client and the Record Management Vendor and
report any incidents to Client Management.

Report status on weekly and monthly basis to Client

Update the process and contact information on the Internal Client web site
Coordinate training sessions for authorized users for using the records
management services.

Schedule internal and external Client meetings

Update email groups as required / necessary

Log any risk incidents and ensure timely escalation

Ensure timely submission of necessary documentation required for vendor
compliance

Coordinate Billing process with Client as required.

Report collation as per Client requirement

Assist in Asset transfer / disposal of print equipment for Client
